Property Administrator - Porirua
About the role
Property Administrator role within the Void Team at Te Āhuru Mōwai. Contribute as an active member of the team, supporting the delivery of high-quality housing services across the organisation. Work collaboratively with Relationship Managers, Property Team members, contractors and other internal teams to achieve organisational objectives. Demonstrate flexibility by providing administrative and coordination support across the Property Team as operational needs change.
Key responsibilities
Provide high-quality administrative support primarily to the Void Property Team, ensuring property maintenance activities are accurately recorded, monitored and completed within required timeframes
Coordinate maintenance work orders through the Housing Information System, ensuring requests are complete, accurately prioritised and assigned in accordance with approved procedures
Administer the organisation's methamphetamine management process, including coordinating testing, remediation activities, contractor engagement, documentation, compliance records and reporting
Maintain accurate records, documentation and data within organisational systems, ensuring information is current, complete and reliable
Coordinate communication between Relationship Managers and Delivery Managers, contractors and other stakeholders to facilitate timely completion of void work and tenant placements
Produce reports from property management systems to support operational decision making and performance monitoring
Support the continual improvement of property systems, workflows and business processes by identifying opportunities to improve efficiency, accuracy and customer service
Develop and maintain user guides, procedures, templates and other operational documentation
Promote safe work practices and ensure property-related administrative processes comply with the Health and Safety at Work Act, organisational policies and contractor requirements
Maintain accurate health and safety records and assist with contractor compliance documentation where required
About you
Demonstrated experience in an administrative, coordination or business support role
Strong organisational and time management skills with the ability to manage multiple priorities and meet deadlines
Developed computer literacy, including Microsoft Office (particularly Excel), with the ability to quickly learn and confidently use new software and business systems
Proven ability to coordinate work, monitor progress and follow up actions to ensure work is completed within agreed timeframes
Strong analytical skills with the ability to interpret data, identify trends and produce meaningful reports
Experience reviewing and improving administrative processes and contributing to continuous improvement initiatives
Excellent written and verbal communication skills, with the ability to work effectively with a wide range of internal and external stakeholders
High level of attention to detail and commitment to maintaining accurate records
Ability to work independently while contributing positively to a collaborative team environment
Must have the legal right to live and work in New Zealand.
